Terms & Conditions
Bookings
• Declare all medical conditions or allergies during registration.
Please notify us of any changes immediately via admin@statesoccer.com.au or by phone on 0458 014 988.
• Advise in writing if you do not consent to photography or filming for marketing use.
• Bookings are confirmed only after full payment.
• For health and safety, do not bring your child if unwell or symptomatic within 48 hours of class.
• Non-attendance without notice (“no-show”) counts as attended and is fully charged.
• Cancellations must be made at least 4 hours before class for a makeup. Makeups are subject to availability; no credits carry over to the following term.
• State Soccer may refuse participation or remove a child for health, safety, or behavioural reasons without refund.
Refund Policy
We plan staffing and venues to deliver consistent programs.
To request a refund:
1. Contact us in writing within 14 days of program start.
2. Include your name, contact details and program name.
3. Explain your reason.
Refunds processed as:
• More than 14 days before start → Full refund minus $20 fee.
• Within 14 days before start → Full refund minus $50 fee.
• After program starts → No refund.
Possible exceptions:
• Medical grounds (with certificate) → full refund.
• Exceptional circumstances → partial or complete refund at our discretion, minus $50.
Notes
All requests must be in writing; processing may take up to 10 business days. State Soccer may amend this policy or review cases individually.
Weather Policy
• Assume sessions proceed in light rain unless told otherwise.
• Extreme heat (36 °C +) or storms → SMS/email cancellation 1 hour before start.
• Cancelled sessions qualify for make-ups (subject to availability).
• Outdoor sport has natural risks and may be affected by weather and council closures. By enrolling, you accept these conditions.
Learning Environment & Duty of Care
• Only enrolled children may enter the coaching area.
• Responsibility begins once signed in and ends when signed out.
• Parents must drop off and collect on time.
• All activities are supervised with reasonable care; however, physical activity carries inherent risk. State Soccer and staff are not liable for injury or loss except where negligence is proven.
• We may suspend or remove participants for unsafe or disruptive behaviour without refund.
Equipment & Uniform
• Boots and shin pads recommended for ages 6 + and in wet conditions.
• Children must bring: sunscreen + hat (mandatory in summer), labelled water bottles, and proper sports attire.
• State Soccer Kit (Shirt & Shorts): $42.50 each.
• State Soccer Hats: $25 each.
• Official uniforms enhance safety, team identity and professional presentation.
Holiday Camps - Information
Heat management – Extra shade breaks, hydration stops and sunscreen checks; sessions may adjust timing.
Rain – Runs unless council closes grounds; if no SMS/email, assume on.
Wet clothing – Pack spare clothes; covered areas available.
Missed sessions – No refund.
Sign in/out – 8 am (Early Drop Off) or 8:30–9 am (standard); sign out at 3 pm or 4 pm (Late Pickup).
What to bring – Boots/trainers, State Soccer kit, hat, sunscreen, lunch, snacks, two water bottles (labelled). No food sharing except siblings.
What not to bring - Any phone/watch device, games, cards or personal items that can be lost as we don't offer any insurance for it.
No Hat, No Play – Mandatory for sun safety; hats available for $25.
Two bottles—one for use, one as backup.
Forgot hat? – Buy on site from the coach or admin.
• Late Pick-Up Fees
A late pick-up fee of $50 per 15 minutes (or part thereof) applies for any child collected after 3:00 pm or 4:00 pm, depending on enrolment.
Fees are calculated from the scheduled pick-up time, not from the time of contact.
Late pick-up fees will be invoiced and added to the family account.
• Notification Requirement
Parents must notify State Soccer before the scheduled pick-up time if they anticipate being late.
Notification after the pick-up time does not exempt the late fee.
• Staffing and Safety
Coaching staff are not rostered beyond scheduled pick-up times.
Late pick-ups require staff to remain on site outside rostered hours and are treated as an exceptional supervision requirement, which is why fees apply.
